  • CASE STUDY - ST JOHN FISHER CATHOLIC PRIMARY SCHOOL

"Our out-of-school clubs have been growing rapidly so we implemented magicbooking to manage and automate all our bookings, availability and payments for the clubs. It has saved much time and streamlined many of the associated manual tasks.  As the school administrator, I am not sure how I would manage without it!"

Customer profile

St John Fisher Catholic Primary School is a large primary school in Pinner, Middlesex. In 2019, they became an academy along with 4 other Catholic primary schools to form the Blessed Holy Family Catholic Academy Trust. The school has been awarded several accreditations for its brilliant work, and this includes the Healthy School and Artsmark Gold award.

The impact of Magicbooking

St John Fisher started using magicbooking because their out-of-school clubs had expanded in number and they were starting to find that the manual paper-based system they were using was taking up too much time and becoming unwieldy. Staff also spent a long time engaging with parents about their booking payments. After implementation, magicbooking has changed the way St John Fisher run their out-of-school clubs, with many of the tasks now being taken care of by the system, enabling more streamline and efficient operations and the ability to plan more effectively.

Automating time-consuming tasks

The booking process, with the eradication of admin-intensive paper-based booking forms, has saved a huge amount of time.  Payments have also been streamlined, which has reduced administrative staff's input considerably.

 24/7 booking availability

Parents can now make their own bookings, see previous bookings and amend and cancel their child's sessions themselves, regardless of whether it is during school office hours or not.

Streamlining parental payments

The system stores parents' card details and accurately calculates what payments are due, splitting them into instalments if desired. Now refunds can easily be given to parents when required.

Service flexibility

Custom register templates can be designed to incorporate all the information that is required, such as parents' contact details and the system can dictate the level of debt a parent can be in before disallowing them to make further bookings.

Five star customer support

The friendly magicbooking support team responds promptly to any questions, with useful and clear instructions.

Improved planning

Magicbooking provides a wealth of useful information to enable effective resource and staff planning for the clubs. The daily registers for the clubs are produced speedily and accurately and the back-office enables a view of the parents' accounts and to instantly add children to the register.

"Magicbooking was recommended to us by another local school. As our out-of-school club provision was growing, we found that the paper-based booking system had become unwieldly, and it took so much time to deal with payments. With a system now in place, parents find the system easy to use and our input is much reduced as payments and bookings are handled by the system"

Jackie McKenna,  School Administrator, St John Fisher Catholic Primary School
