What is Magicbooking reporting?

      

Magicbooking’s innovative and self-serve reporting solution provides the tools and capabilities to enable you to collate, manage, and analyse your data from a variety of sources, accessed through a user-friendly interface. It consolidates data coming from different sources and gives you reports through tables and visually compelling and easy to understand charts and graphs, allowing users to filter, generate, export and share clear and useful snapshots of what’s happening in their setting. You do not need a technical background as the views are easily accessible from the admin centre. You can delve into attendance information, parent and child details, sales or financial data and much more.


In the following section, we will explain the portfolio of magicbooking reports you can use to analyse your provision.


Attendance Reports


  • Session Attendance Overview Report (see screenshot below) - View a breakdown of your attendance for all your sessions to see your busiest days and months
  • Attendance Ratio Reports - See your occupancy rates, for each session you can see the number of current active bookings vs the total number of places.
  • Centre Attendance Reports - For each centre, see the number of places booked (for all sessions/activities) on a daily basis and in total.
  • Activities Attendance Reports - View a visual display for each activity and see bookings and attendance stats.
  • Sessions Attendance Reports – For each session, get a visual breakdown of attendance.

Children Reports

  • Children Overview Report  - See how many children are added to your organisation/centre monthly and find out the total number of children you have at each centre.
  • Children Date of Birth Report - List of your children’s date of birth based on school, classroom, gender and IDs etc.
  • Children’s Contacts Report - For each child, you can view all their contacts, such as parent and emergency contacts and named collectors.
  • Consents Report - List all your consent answers for children in your setting.
  • Accident/Incident Report (see screenshot below) - Record of your accidents/incidents from your registers. Shows you accidents/incidents by centre, body region and severity level. 

Parent Reports

  • Parent Overview Report (see screenshot) - This report enables you to see how many parents are added to your organisation per month/year and the total number of parents for each centre.
  • Parent Details Report - View a parent's contact details, address and children, as well as groups they are in and booking information.
  • Parent Consents Report - See all your parent consents, for example, consents to your terms and conditions, privacy policy and marketing preferences as well as receiving emails and SMS messages.
  • Parent Statements Report - You can see a parent’s balance and status. You can also view a full breakdown of all the parents’ accounts, including all credit notes, payments and invoices.
  • Overdue Accounts Report - You can see any parents' overdue accounts. Use this information to chase individuals for payments or understand who owes you money.
  • Parent Answers Report - Answers that have been included on the 'additional questions' box under activities.
  • Sales Reporting - Review your sales data across your organisation, breaking it into different sources.
  • Sales by Session/Activity/Centre Report (see screenshot below) - View overall sales details on all your sessions/activity/centre.
  • Projected Income Reports - Income from future instalments or parental bookings.
  • Additional Charges Reports - Log of any additional charges added from your register, such as late collections, bookings etc.

The payment reports show the payments made by parents.  You can see parent payments by all the different payment types. (See screenshot below).

Debtors Reports

 

Aged Debt by Parent Report/Aged Debt by Instalment Report - For each parent, you can see how much money is outstanding/overpaid for the sessions their child has currently attended. You can also see a similar view by looking at a parent's current instalment plan.
